Price :
£105 per person – double room occupancy including breakfast ( this can be for 1 person or 2 people (1 person might be slightly more than £105)
£135 per person per night- Twin room for 2-4 people this is 2 double beds. Also includes breakfast.

I have limited number of rooms allocated per night so please let me know as soon as possible to guarantee a room as i have to have these paid before closing registration date.

FHLTA subsidies:

Transplant recipients 25% towards accommodation. (deducted from invoice)

Transplant Recipients receive 33% towards cost of travel (standard class/mileage allowance – receipts/mileage required). Payable on receipt of completed expenses form up to 7 days after games finish.

Transplant recipients receive 33% towards cost of team hotel parking (receipts required). Payable on receipt of completed expenses form up to 7 days after games finish. Hotel parking is £6 per day.

If you want to share a room with another team member to help cut costs, please discuss it with them and let me know so I can allocate the rooms accordingly.

You are welcome to stay in another hotel and the FHLTA will still subsidise up to the equivalent of 25% of the team hotel on producing appropriate receipts of your hotel booking.

You will be required to pay the invoice by 24/6/26
All competitors will be asked to sign a 2026 FHLTA subsidy letter to protect the charity from misuse.
The accommodation was chosen because of the reasonable price, it has a gym which can be used free of charge for customers as well as free wifi. It is situated in the city centre, and it is at a reasonable distance between all sports venues. In addition it is by bus and tram routes. It is a 7min taxi ride from the train station.

Registration

Registration opens 12th February 2026
Registration closes 24th May 2026
Registration fees:

Adult competitor £53 (payable by FHLTA)

Supporter Adult £21.50

Supporter child (5-17) £11.50
Carers register fee (payable by FHLTA)

Photos will need to be uploaded at time of registering. These are to add security and will appear on your passes.
Uploading a Pass Photo to an Individuals Registration.

 

To add a photo to an Individuals, record please use the following steps:

 

  • Click the “Camera” button
  • This will open your computers file finder
  • Select the jpeg / png / bmp that you would like to upload
  • Move the selection / crop zone to include the head and shoulders of the individual

Only. Once you are happy with the selection click “Crop”

  • Click “Confirm”

 

As close of registration approaches, I will post out GDPR and subsidy forms for you to complete and I ask that you can return these as soon as possible either by email or post. Thank you

Events : 

Competitors can take part in up to 4 events but not two events on the same day.

  1. Can do 4 athletics events in one day eg. 100m, 200m, 800m, javelin BUT cannot do two different events e.g. Volleyball and archery which are different events but both take place Thursday.

 

Social events are not included in the 4 and are not limited so can do the donor run/walk in addition to 4 other events!!

Medical:

There are no requirements this year to complete a medical. You will be asked to sign a waiver when you register online. You are taking responsibility for being fit and well enough to compete in the events for which you have registered. I would Recommend if you have any doubts to discuss it with staff at clinic.

You need to take with you a list of your medication and your hospital number. Provide them at your online registration with contact numbers for our transplant clinic and out-of-hours ward.

 

Insurance:

Competitors and supporters are advised to take out appropriate individual insurance including for covid 19.

 

Payments:

I will issue individual invoices when registration closes. I will start sending those when registration closes 24th May so you have lots of notice regarding payment, however, if you only register on last day of registration then you will have a shorter time as all invoices will need to be paid by 24th of June as the Freeman will receive their invoice from Transplant sport shortly after and all monies will need to have been paid. Therefore, registering earlier will be likely be more beneficial for you.

Remember the FHLTA will pay the competitors registration fee and 33% towards competitors travel to and from the games.

 

Closing party: 

This year there is no Gala like previous years. This year you can choose to go the closing party as seen on the online registration, however a visit to the venue has been made by the FHLTA managers and we have decided that it would likely be best if we organize our own closing event. This would involve a team meal and then another activity. We will shortly have an online poll of possible options and go with a majority. You are still welcome to attend transplant sport closing party, just make sure you choose this when registering, however we will not be attending as a team.

Previously the FHLTA have paid for the adult competitors’ gala tickets Adults. However, this year FHLTA plan to contribute towards whatever we choose as a team to do on the Sunday evening instead of the transplant sport closing party.

Donor Run – Barkers pool – it then goes through the streets of Sheffield.

The donor run is open to all – it is advised to register for this during your online registration and not on the day of the donor run as it will not be guaranteed there will be enough safe space for any additional number of runners and there may be not enough medals available at the finish line. Also, due to safety reasons if you forget your running number you WILL NOT be allowed to run.

Athletics – This will be indoors this year Track and Field will be on the Sunday. However, throwing sports javelin and discus will be at Woodburn Road which is outdoors and will take place on the Saturday.

Every venue is in the city centre.
Pétanque is 2.9 miles from team hotel. Ten pin bowling is 7.5 miles from team hotel which is the furthest away venue.

19min drive/ 4.9mile to golf club. This is the furthest away venue from team hotel crown plaza. Every other venue is closer to the team hotel.

Like previous years I will provide slips of each event you are due to compete in with info such as address, parking, facilities however please look into facilities to make yourself aware so you have an understanding of your schedule.
